Procurement Officer - Job Description

The Procurement Officer is responsible for/to:

·         Immediate handling of incoming purchase orders from vessels

·         Sending orders to relevant suppliers for quotations

·         Evaluating incoming quotations and confirm to choose supplier after approval by Superintendent/Technical Manager or higher authority

·         Giving forwarding instructions to supplier

·         Informing agents and vessels of deliveries planned during coming port calls.  Liaise with the Agent, Supplier, Forwarder, and the vessel as required to ensure safe delivery of goods and services

·         Advising and updating, Technical Manager/Superintendents regarding current expenditures on stores and spare parts on an individual vessel basis

·         Checking of invoices connected with ordering and approval of invoices according to authority

·         Attending and setting up meetings with vendors to continuously feed the fleet with best service/price options.

·         Keeping a good record of vendor evaluations and reporting to the management.

·         Developing and maintaining a pool of approved suppliers / vendors

·         Following up and Handling of invoices

·         Recording of Bunker Alerts

·         Dispute invoices

Authority

The Procurement Officer has the authority within the limits given by the Fleet Manager to place orders and approve invoices. Approves and block vendors as required.
